Position Summary

Junior Advisory Associate will ensure efficient and successful implementation of Advisory activities within the agreed terms. The candidate will be responsible for administrative and daily operations of Advisory activities, quality control, data collection and validation, adherence to compliance, monitoring implementation of Advisory activities and reporting progress.

Operational and Administrative Responsibilities (60%) 

  • Work closely with the Advisory consultants to ensure Advisory workflow is implemented according to plan.  
  • Coordinate logistics of regional events such as workshops, onsite engagements, seminars, and field trips.
  • Assist in development, coordination, and maximization of vendor and external service providers.
  • Maintain strong compliance documentation related to Advisory processes and procedures.
  • Communicate updates to administrative processes,  Advisory tools, reporting mechanisms and Accounting procedures to the regional Advisory consultants.
  • File management, dissemination of programmatic and team information, and contribute to knowledge sharing.
  • Support in the induction process of Advisory consultants in the region.
  • Review and preliminarily process invoices from consultants, subcontractors, and vendors for a timely submission to  Accounting in accordance with project requirements and Root Capital  procedures.
  • Support in processing the monthly expense reports and invoices in Salesforce. 
  • Responsible for the administration of regional Advisory calendar and team meetings.
  • Coordinate communications material management, printing, and assembly.
  • Coordinate international/domestic travel and hotel arrangements related to Advisory activities and whilst ensuring that all travel arrangements are in compliance with Root capital travel protocols.
  • Provide general support to project team members when traveling.
  • Manage information requests from Impact and Quality Assurance teams.

Monitoring (20%)

  • Assist in tracking & monitoring progress towards Advisory outputs and capture stories from the field.
  • Monitor field activities based on the project implementation plan using relevant Advisory monitoring tools and procedures.
  • Follow and promote timely and correct archiving of different monitoring tools through constant contact and collaboration with the  global Quality Assurance department.
  • Validation of data shared by Advisory  teams and share findings of validation with Quality Assurance and Impact staff.
  • Monitor Advisory performance, prepare periodic reports including key results, and lessons learned.
  • Planning and implementation of the Agribusiness enterprise diagnostic framework.
  • Conduct regular field visits to monitor program implementation as well as assist teams with monitoring, evaluation, reporting and information management.
  • Assist in coordinating quarterly reviews for Advisory projects including input to finalization and filing of qualitative data.
  • Timely and accurate recording of all Advisory activities in the stipulated recording systems.

Data Collection and Record Keeping  (20%)

  • Ensure quality of Advisory information in the Salesforce by following data validation processes.
  • Maintain an archive of key documents and records of all Advisory activities for reporting purposes, using Root Capital systems and according to global advisory processes.
  • Timely and accurate recording of all Advisory activities in the stipulated recording systems.
  • Contribute to the generation of quarterly and annual advisory services implementation reports.
  • Accurate allocation of Advisory resources (Donor Codes) in processing Advisory expenses, consultant fees, training events and field trips etc. 
  • Timely update of monthly Advisory activities in the Salesforce database.
  • Input Advisory transaction data into the Salesforce database. 
  • Updating Advisory activity information in the clients folder. 
  • Maintain accurate and up-to-date Advisory files, records, and documentation.


  • Support special projects as assigned.


  • Bachelor's degree in Business Administration, Business Management, Economics, Project Management, Agribusiness Management, Agricultural Economics, Finance or related field.
  • 3-5 years of experience in Project Management and Administration. 
  • Interest in working with rural small and medium enterprises.

  • Fluency in English.
